HeadBox is pursuing enterprise growth through an AI overhaul of its meetings and events platform, while remaining open to partnerships with travel management companies and travel technology providers. Founder and CEO Andrew Needham outlined the strategy in an interview with Business Travel News Europe.

The company’s platform update combines booker preferences, company event history and venue information to inform future recommendations. HeadBox says each brief, sourcing decision and completed event adds to that memory, allowing teams to build on earlier bookings rather than restart the process for every request.

For small, straightforward meetings, the agentic workflow can handle sourcing, negotiation and contracting, according to Needham. Planners can submit requests through chat or voice on desktop and mobile. Payments remain outside the automated process, an important distinction for companies assessing how far the system can manage a booking.

The overhaul also adds hotel room-block management, including room assignments, attrition monitoring and booking reminders. Larger or more complex events retain human oversight. Needham said contracts undergo a two-person review before signing, while AI flags deviations from enterprise master service agreements.

HeadBox’s earlier expansion announcement set a target of adding venues in 100 cities worldwide over six months, supported by its New York, London and Sydney hubs. We recently covered Naboo’s procurement push, another example of meetings platforms combining AI workflows with human event expertise.
